How much do personal trainers make?
Employed fitness trainers in the US had a median wage of $47,160 a year in May 2025, according to the Bureau of Labor Statistics. Self-employed personal trainers set their own income: clients times price, minus costs. Enter your packages and hours here to see your monthly take-home and real hourly rate.
- Clients times price for up to three packages
- Minus the Trainaq plan that fits your client count
- Your hours and effective hourly rate
- BLS pay data for comparison, with its source
How it works
How does this personal trainer income calculator work?
It multiplies the clients in each package by the package’s monthly price, then takes off what running your coaching through Trainaq costs: the plan that fits your client count. It also adds up your hours, so you see your take-home and what each hour of work really earns.
Enter your packages
Up to three package types, such as online coaching, in-person PT and a hybrid of the two. For each, enter how many clients buy it and its monthly price. If you charge by the session, multiply your session price by the sessions a client has each month.
- Rename the packages to match yours
- Set clients to 0 for a package you don’t offer
Add your hours
For each package, enter the hours one client takes you in a month: sessions, travel, programming, check-ins and messages. Then add the hours that belong to no single client, such as admin, marketing and content.
- Count every hour, not only the hours you are paid for
- The client capacity calculator helps you time each task
Take off the costs
The calculator picks the cheapest Trainaq plan whose client limit covers your total clients and takes off its monthly price. Outside India you record client payments yourself, by cash, bank transfer or any other method, so Trainaq takes no fee on them.
- Plan prices come from Trainaq’s live catalogue
- No payment fee outside India
Read your take-home and hourly rate
The result is your monthly take-home before income tax, with the revenue, plan and fee lines that make it up. Your effective hourly rate divides that take-home by every hour you entered, and the 12-month figure shows the year at the same pace.
- Change one input at a time to see what moves the number
Formulas
Which formulas does the calculator use?
Revenue is the sum of clients times monthly price across your packages. Take-home is revenue minus the Trainaq plan. Hours are each package’s clients times hours per client, plus admin hours, and the effective hourly rate is take-home divided by those hours. Money is rounded to whole dollars.
R = Σ (clients × monthly price)T = R − PH = Σ (clients × hours per client) + AT ÷ H- Prices are per client a month, in US dollars
- P: the monthly price of the cheapest Trainaq plan whose client limit covers all your clients
- A: admin, marketing and content hours a month
What comes off
What does the calculator take off, and what does it leave to you?
It takes off only what Trainaq charges, which outside India is your plan. Card, bank or payment app charges, income tax, self-employment tax, rent, travel, kit, insurance and marketing are yours to add, because they vary too much from one coach to the next to guess.
| Cost | Taken off here? | Why |
|---|---|---|
| Your Trainaq plan | Yes | The cheapest plan whose client limit covers your clients |
| Fee on client payments | None | Outside India you record client payments; online payments are India-only for now |
| Card, bank or payment app charges | No | Charged by whoever takes the payment for you |
| Income tax and self-employment tax | No | In the US the self-employment tax rate is 15.3%, on top of income tax (IRS) |
| Rent, travel, kit, insurance, marketing | No | Too varied to guess: add your own |
Plan prices are Trainaq’s current catalogue, in US dollars. Self-employment tax: IRS, Self-employment tax (Social Security and Medicare taxes).
Worked example
What does a worked example look like?
Take a coach with 10 online clients at $150, 6 in-person PT clients at $400 and 4 hybrid clients at $250 a month: $4,900 of revenue from 20 clients. Pro, the cheapest plan for 20 clients, costs $20 a month, and payments you record carry no fee. That leaves $4,880 a month.
- Hours: 10 × 2 + 6 × 8 + 4 × 4 client hours, plus 20 admin hours, is 104 hours a month
- Effective hourly rate: $4,880 ÷ 104 hours is about $47 an hour
- Over 12 months at this pace: $58,560
Hourly rate
Why work out your effective hourly rate?
Because a package’s price says little until you divide it by the time it takes. A client who pays more can still earn you less per hour once sessions, travel and messages are counted. The effective hourly rate divides take-home by every hour you work, admin included, so packages compare fairly.
- Online coaching in the example: $150 ÷ 2 hours is $75 per client hour
- In-person PT: $400 ÷ 8 hours is $50 per client hour
- Hybrid: $250 ÷ 4 hours is $62.50 per client hour
- Admin hours belong to no package, so they lower every rate

Pay data
How much do personal trainers make in the US?
The US Bureau of Labor Statistics puts the median pay of fitness trainers and instructors at $47,160 a year, or $22.67 an hour, in May 2025. The lowest 10% earned under $28,800 and the highest 10% over $83,100. Those figures leave out self-employed trainers, so your own numbers tell you more.
- The figures are wages of employed trainers, before tax
- Many trainers work variable or part-time schedules, including nights, weekends or holidays
- Compare the median hourly wage with your effective hourly rate, not your session price
Limits
What does the take-home figure leave out?
It is a steady month at the numbers you enter, before income tax. Real months vary: clients pause, leave or join, sessions get cancelled and some fees arrive late. It also leaves out business costs other than Trainaq, so treat the result as a ceiling for a full month and check it against what actually reaches your bank.
- Unpaid dues and refunds are not counted
- Add-ons and extra client packs are not included in the plan cost
Plans
Which Trainaq plan does the calculator take off?
The cheapest plan whose client limit covers the clients you enter, at its monthly price. Each plan sets a limit on active clients, and archived clients don’t count towards it. Add-ons and extra client packs aren’t included, so if you are near a limit, check the pricing page for what fits your business.
For the example’s 20 clients that is Pro: $20 a month for up to 50 active clients.
| Plan | Price | Active clients | Coach accounts |
|---|---|---|---|
| Starter | $10 a month | Up to 10 | 1 coach account + 1 assistant |
| Pro | $20 a month | Up to 50 | 5 coach accounts |
| Studio | $59 a month | Up to 200 | 25 coach accounts |
Prices are in US dollars; taxes are added where applicable. Every plan starts with a 7-day free trial, and no card is needed. Every feature by plan →

FAQ
Coach income calculator FAQ
Is take-home the same as profit?
No. Take-home here is revenue minus what Trainaq charges, before income tax. Profit also takes off your other business costs: gym rent or floor fees, travel, kit, insurance, courses and marketing. Subtract those from the take-home figure, then set aside money for tax, to see what you can actually spend.
Should I charge per session or per month?
The calculator works per month, so turn a session price into a monthly one: the price per session times the sessions a client has each month. In Trainaq a membership can carry a set number of PT sessions, booked against its allowance, which suits clients who pay monthly for a fixed number of sessions.
Does Trainaq take a cut of my coaching fees?
No. Outside India you record client payments yourself, so Trainaq takes no fee on them and you pay only your plan. Online client payments run for businesses in India today, through Razorpay, with a platform fee on payments through Trainaq; for businesses elsewhere they are coming soon.
How many hours should I count for each client?
Count everything one client takes in a month: sessions, travel to them, writing and changing their program, reviewing check-ins and answering messages. Time a normal week before you trust the number, because short tasks such as messages add up. The client capacity calculator breaks a client’s week into tasks for you.
Why is my hourly rate lower than my session price?
Because a session price pays for more than the session. Travel, programming, check-ins, messages and admin all take time that no client pays for directly. The effective hourly rate spreads your take-home over all of those hours, which is why it is lower, and why it is the fairer number to compare.
What does the Trainaq plan cost outside India?
Plans are priced in US dollars a month, and the calculator takes off the cheapest one whose client limit covers your clients. The pricing page lists every plan with its client limit and what it includes. Every plan starts with a 7-day free trial, and no card is needed. Taxes are added where applicable.
