Personal training studio software
Each coach runs their own clients. You see the whole studio.
Trainaq is personal training studio software for an owner and a few coaches: a lead coach for every client, 1:1 booking from each coach’s hours, memberships with PT allowances and couple plans, and programs, check-ins and payments. Your clients get a free app.
- Trainaq Coach · iPhone and Android
- Web dashboard
- Free Trainaq app for clients

Is Trainaq right for a personal training studio?
Yes, if you run a studio where several coaches each look after their own clients. You invite your coaches, give every client a lead coach, sell memberships with PT sessions or couple plans, and clients book their coach’s open slots in the app. Payment setup and refunds stay with you. It doesn’t run door access or trainer payroll.
- Team roles and lead coaches on Pro and Studio
- Coaches see only the clients they lead
- Every plan starts with a 7-day free trial, and no card is needed.
- Record every payment; online payments run for businesses in India
Why studios switch
Why does a PT studio outgrow WhatsApp and a register?
Because a studio multiplies everything a solo trainer juggles. Each coach books clients by message from their own phone, sessions are counted in a register, and dues live in someone’s head. When a coach leaves, their clients’ history leaves on their phone. A lead coach per client in one system keeps clients, sessions and money with the studio.
A diary on every phone
You see the studio’s schedule only when the floor fills up.
Sessions counted by hand
A client paid for 24 sessions. The register says 19 are used; their coach remembers 17.
A coach leaves
The programs and the chat were on the coach’s phone, so the next coach starts from nothing.
A week in a PT studio
What does a week in a PT studio look like with Trainaq?
You add each client with a lead coach and sell them a membership with PT sessions. Each coach opens their own hours, clients book their coach’s open slots, and programs cover the days between. Check-ins reach each coach’s own queue, while you see every session, payment and due in the studio from the web dashboard.
Add each client with a lead coach
The owner adds a client in Trainaq Coach or on the web dashboard and picks their lead coach; a coach who adds a client leads that client. Send the invite link on WhatsApp, and the client fills in your intake form in the free Trainaq app.
- Intake answers on goals, injuries and health for the coach
- Filter the web client list by lead coach
- Tags of your own, such as “6 am batch”, to filter and message clients

Sell PT plans and couple plans
Create membership plans with a set number of PT sessions or unlimited sessions, and couple plans where two partners share one pool. Sell at the desk and record the payment in full or in part. Coaches sell to their own clients, with discounts only up to the cap you set.
- An admission fee charged once per client
- Freeze, extend, upgrade or transfer a membership
- Discounts as an amount or a percentage, with a reason

Each coach opens their own hours
Every coach sets weekly hours, days off, notice and a buffer. Clients book their lead coach’s open slots in the Trainaq app, each booking uses a PT session from their membership, and an in-time cancel gives it back.
- Reminders 24 hours and 1 hour before every 1:1 session
- Couples book one session for both of them
- Book a session for a client on the web dashboard

Coach the days between sessions
Every coach builds from the same library: 450+ exercise demo videos, the studio’s own exercises and shared workout templates. Clients follow their program with demos and log every set, and weekly check-ins land in their lead coach’s own review queue.
- Assign a program to many clients at once, each with their own copy
- Personal records show up for the coach as well
- Chat with voice notes, photos and video

Get paid without chasing
Record cash, bank transfers and part payments against each membership. Anything unpaid becomes a due with a date, coaches see the dues of their own clients, and only the owner writes off a balance or records a refund.
- Collected this month, payments due and failed payments on the Business overview
- A receipt for every payment
- Online payments for businesses outside India are coming soon

Keep clients coming back
Clients get membership reminders 7, 3 and 1 days before expiry, and the owner and the client’s coach hear about renewals coming up. Web Home marks each client on track, slipping or quiet, so each coach knows who needs a message this week.
- An early renewal starts the day the current membership ends
- Clients can ask for a freeze from the app when they travel

What studios use most
Which Trainaq features does a PT studio use most?
Team roles come first, because they give each coach their own clients. Then memberships with PT allowances to sell, 1:1 booking from each coach’s hours, the workout builder and check-ins to coach, and payments to collect. Clients book sessions, train and check in from the free Trainaq app.

Payments
Can my studio’s clients pay online?
Online client payments run for businesses in India today, through Razorpay. Outside India you sell memberships and record cash, bank transfers and other payments in Trainaq, with part payments and dues tracked for everyone; online payments for businesses outside India are coming soon. Your own plan is billed in US dollars.
Plans
Which Trainaq plan fits a PT studio?
Your coaches need the coach role to lead clients of their own, and it is on Pro and Studio; on a plan without it, extra accounts are assistants, who can’t lead clients. Past that, plans differ by active clients and coach accounts. Every plan starts with a 7-day free trial, and no card is needed.
Most PT studios start on Pro: $20 a month for up to 50 active clients, with 5 coach accounts.
| Plan | Price | Active clients | Coach accounts |
|---|---|---|---|
| Starter | $10 a month | Up to 10 | 1 coach account + 1 assistant |
| ProFits most | $20 a month | Up to 50 | 5 coach accounts |
| Studio | $59 a month | Up to 200 | 25 coach accounts |
Prices are in US dollars; taxes are added where applicable. Every plan starts with a 7-day free trial, and no card is needed. Every feature by plan →
Honest gaps
What doesn’t Trainaq do for a PT studio yet?
A few things studios ask for aren’t built: reports or revenue per trainer, custom roles and multiple branches, all coming soon, plus trainer pay or commission and a second coach on one client. There is no door access or biometric attendance either; MyGymDesk, from the same company, runs that front desk alongside or instead of Trainaq.
- Clients book only their lead coach; to cover a coach’s leave, change the lead coach
- Add clients one at a time: there is no spreadsheet import or data export yet
- Online payments for businesses outside India are coming soon
Getting started
How do I move my studio’s clients over to Trainaq?
Send each of your clients your invite link by WhatsApp, SMS or email. They install the free Trainaq app, fill in your intake form and land in your space with the plan you assign. There is no spreadsheet import yet, so you add clients one at a time, from Trainaq Coach or the web dashboard.
- Invite your coaches first, so each client gets a lead coach as you add them
- Create your membership plans before the next renewal comes round
- Move one coach’s clients at a time if you’d rather go in stages
FAQ
PT studios FAQ
Can each trainer see only their own clients?
Yes. A coach sees only the clients they lead, with their programs, food logs, check-ins, chat and memberships. The owner sees every client, session and payment in the studio and sets each client’s lead coach, in Trainaq Coach or on the web dashboard. A coach automatically leads any client they add.
Can clients book any coach in the studio?
No. Each client books their own lead coach’s open slots in the Trainaq app. To move a client to another coach, for a holiday or for good, the owner changes the lead coach, and the client books the new coach from then on.
How many coaches can a studio have on Trainaq?
Each plan includes a set number of coach accounts, and the owner’s counts as one. The coach role, which a studio needs, comes with Pro (5 coach accounts) and Studio (25 coach accounts). A pending invite takes no seat, and nobody is removed if you later move to a smaller plan.
Can a couple share one PT plan?
Yes. A couple plan covers two members with one payment, the same dates and one shared pool of PT sessions. Either partner can book alone, or book one session for both of them, which uses a single session from the pool. Staff can change the partner on the membership later if needed.
What happens to a coach’s clients when the coach leaves?
Nothing is lost. The owner removes the coach from the team on the web dashboard, and their access to your studio ends. Then set a new lead coach for each of their clients. Programs, check-ins, memberships and the whole chat history stay with the studio, so the new coach carries on from there.
Can coaches see the studio’s payments?
Coaches see the memberships, payments and dues of the clients they lead, and can sell plans and record payments for them, with discounts up to your cap. Refunds, write-offs, payment settings and your Trainaq plan stay with the owner, and no coach sees another coach’s clients.
Does Trainaq track trainer commission or revenue per coach?
Not yet. Trainaq has no trainer pay, commission or revenue report per coach, and reports per trainer are coming soon. Today the Business overview shows what the studio collected this month, payments due and failed payments, and the web calendar shows each coach’s sessions with a filter by coach.
