WhatsApp to coaching app: how to move your clients over, step by step
A practical guide for Indian coaches on moving clients from WhatsApp chats and spreadsheets to a coaching app: what breaks, the move in five steps, and what to keep on WhatsApp.
We make Trainaq, one of the apps covered here, so weigh our picks with that in mind.

To move from WhatsApp to a coaching app, list your clients, pick one app for programs, check-ins and payments, send each client an invite link, and run the old and new setup side by side for one week. Keep WhatsApp for quick nudges and invites. Move everything you need to track, such as programs, payments and check-ins, into the app.
This guide shows what breaks when coaching lives in chats and sheets, a five-step move, a first-week plan and a clear rule for what stays on WhatsApp. It will help you manage personal training clients with any tidy system, and it also shows where Trainaq, our recommended choice, fits.
What breaks when programs, payments and check-ins live in WhatsApp and sheets?
Three things break first: you cannot see whether clients followed the plan, you cannot tell at a glance who has paid, and check-in replies get buried under other messages. WhatsApp is built for conversation, not for tracking a coaching business.
| Job | In WhatsApp and sheets | What goes wrong |
|---|---|---|
| Programs | PDF or image sent in a chat | Nobody logs sets; you never see what happened |
| Check-ins | Free-text replies and photos in a thread | Replies get buried; no history to compare |
| Payments | UPI screenshots and a notebook or sheet | Dues are hard to see; GST invoices are made by hand |
| Sessions | "Can we do 7 tomorrow?" messages | Every change is another thread to answer |
| Client details | One sheet with many columns | Goals, injuries and notes sit in different places |
The fix is not to stop using WhatsApp. It is to give each job one home, so you can find any answer in seconds.
What should a client management app for coaches do?
A client management app for coaches should hold client details, programs, nutrition, check-ins, chat, sessions and payments in one place, and give clients a simple app of their own. Use this checklist to judge any option:
- Client profiles with tags and intake answers
- A workout builder with exercise demos
- Programs and meal plans you can assign to one client or many
- Weekly check-ins with measurements and photos
- Habit tracking with adherence you can see
- Reminders sent for you
- Online payments in rupees with GST invoices, and a place for cash and part payments
- A free app for clients that works offline
Also separate two kinds of apps. A consumer workout app is built for individuals who train without a coach, so it replaces the coach. A coaching app is built for you: it keeps your clients, your plans and your money together and puts you in charge of the plan.
Where Trainaq is strongest
Trainaq is our recommended choice for coaches in India. On Trainaq's comparison pages, it costs less than Trainerize, Everfit and TrueCoach at the client counts compared there. Read the Trainaq vs Trainerize comparison for the numbers and the date they were checked; the Everfit and TrueCoach pages sit alongside it. Other points that matter in India:
- The client app is free for clients, on iPhone and Android.
- Every plan starts with a free trial and no card is needed.
- 600+ exercises with 1,600+ HD 3D demo videos made by Trainaq, in the workout builder and the client app.
- AI food photo logging on every plan: the client photographs a meal, AI lists each food with an estimated weight, Trainaq matches it to its food library for calories and macros, and the client checks it before logging.
- On the web dashboard, AI drafts workouts, multi-week programs and weekly meal plans from what you ask for. Nothing reaches a client until you review and assign it.
- Habit tracking, with streaks for clients and 7 and 28-day adherence for you.
- Automated reminders for sessions, check-ins, habits and memberships.
- Clients in India pay by UPI, card or netbanking, with GST invoices.
How do I move clients from WhatsApp to a coaching app, step by step?
Move in five steps: list, set up, invite, run both for a week, then switch fully. Do it in small batches, not all clients on one day.
Step 1: List your clients and what you must keep
Open your sheet and mark every client as active, paused or finished. Move only active clients first. For each one, note the goal, current programme, payment status and any health notes they have shared. Anything about pain, injury, pregnancy or a medical condition should be reviewed with the client's doctor involved; do not copy it over as advice.
Step 2: Export what you need from WhatsApp
WhatsApp lets you export a chat from the chat menu, with or without media. You rarely need whole chats. Instead, save these:
- The latest programme file each client follows
- Progress photos and measurements you want as a baseline
- Any payment screenshots for the current month
Store them in one folder per client. Leave the rest of the chat where it is.
Step 3: Set up your coach space
Create your account, add your intake form questions, build your first programme with demo videos, and set your payment details. Trainaq has no spreadsheet import, so you add clients one at a time. For a small client list this takes little time, and it forces a clean-up of old data.
Step 4: Invite clients with a link
In Trainaq, clients join through your invite link. You can share it on WhatsApp in one tap. The client installs the free Trainaq client app, fills in your intake form and lands in your space with the plan you assign. Your message can be short:
"Hi Priya, I am moving our coaching to an app so your workouts, meals and check-ins sit in one place. It is free for you. Tap this link, install it and fill in the short form. Your plan will be waiting."
Step 5: Run both for one week, then close the old thread
For the first week, keep answering on WhatsApp but point every question back to the app: "Log it there and I will see it." After that week, stop sending programmes and payment requests through chat.
What does the first week look like?
The first week is about habit, not features. Aim for each client to open the app daily and log one thing. Use this plan.
| Day | You do | Client does |
|---|---|---|
| 1 | Send invite and first programme | Installs app, fills intake form |
| 2 | Check who has joined; nudge the rest | Opens today's workout |
| 3 | Review first logged workout | Logs sets, tries a food log |
| 4 | Reply in app chat | Ticks daily habits |
| 5 | Check dues and payment status | Pays online if due |
| 6 | Prepare check-in | Takes baseline photos and measurements |
| 7 | Review check-ins in one queue | Submits first check-in |
Example: moving ten clients in one week (illustrative)
These numbers are made up to show the pacing, not results to expect.
| Day | Clients invited | Clients active in app |
|---|---|---|
| 1 | 3 | 0 |
| 3 | 6 | 3 |
| 5 | 10 | 6 |
| 7 | 10 | 8 |
Two clients still on WhatsApp after a week is normal. Call them, help them install the app, and set a date after which programmes go out only through the app.
How do payments, check-ins and chat work after the move?
Each one gets a single home, and the app does the chasing for you.
Payments
With online payments, clients in India pay you by UPI, card or netbanking and get a GST invoice. Cash and part payments are recorded as dues, so you can see who owes what by date. On GST itself: per CBIC and the GST Council, gym, fitness, health club and yoga services attract 5% GST without input tax credit from 22 September 2025, and registration is required above ₹20 lakh aggregate turnover (₹10 lakh in special category States). Confirm how this applies to you with a chartered accountant.
Check-ins
Check-ins arrive as a weekly form with measurements, answers and photos, in one review queue. You react, add a note and move on. Reminders go out on the day a check-in is due, so you stop sending "please send your weight" messages. If a client reports pain or a medical concern in a check-in, refer them to a doctor.
Chat
Client conversations move to in-app chat, with voice notes, photos and video, kept next to that client's plan and progress. You can still message a client on WhatsApp in one tap when that is faster.
What should stay on WhatsApp?
Keep on WhatsApp anything short, urgent and low-stakes: running-late messages, a quick "great session", invite links and reminders to open the app. Move to the app anything you will want to look up later.
- Keep on WhatsApp: invites, quick nudges, last-minute changes, festival wishes
- Move to the app: programmes, food logs, check-ins, progress photos, payments, dues, session bookings
A simple rule: if you would ever need to find it again in a month, it belongs in the app.
FAQs
Will my clients have to pay for the app?
No. The Trainaq client app is free for clients on iPhone and Android. They join with your invite link, and you pay for your own Trainaq plan. See the pricing page for plans in rupees plus GST.
Can I import my client spreadsheet?
Not yet. Trainaq has no spreadsheet import, so you add clients one at a time from Trainaq Coach or the web dashboard. Clients fill in your intake form after joining, which also refreshes their details.
How long does the move take?
Plan on about a week for a small client list: invite in batches, run both setups side by side, then stop sending programmes by chat. The pace depends on how quickly your clients install the app.
Is a consumer workout app the same as a coaching app?
No. A consumer workout app lets an individual train without a coach. A coaching app such as Trainaq is used by the coach to run clients, programmes, check-ins and payments.
How Trainaq helps
Trainaq Coach keeps your clients, programmes, meal plans, check-ins, chat, calendar and payments in one app on iPhone, Android and the web, while clients use a free app. Clients in India pay by UPI, card or netbanking with GST invoices, and reminders go out for you.
