# Personal training prices, worked out from your income goal.

This personal training price calculator works out what to charge in rupees, before GST: your take-home goal plus the Trainaq plan, the fee on payments through Trainaq and your other costs, spread over the client hours you can sell. You get a price per month for each package, per session and per pack of 10.

Use the calculator on the page: https://trainaq.com/in/tools/personal-training-price-calculator. For self-employed coaches and personal trainers. An estimate before income tax, not tax or financial advice: each coach’s market differs, so check the prices against what clients near you pay, and ask a chartered accountant about GST and income tax.

## How much should I charge for personal training?

Work out personal training prices from what you need. Add your monthly take-home goal to your costs, divide by the client hours you can sell, and you have the least to charge per hour. Multiply by the hours each package takes for its price. Each coach’s market differs, so check the result against what clients near you pay.

- Your take-home goal plus costs, over the client hours you can sell
- Monthly prices for in-person PT and online coaching, and a price per session and per pack
- The Trainaq plan that fits and the 3.5% + GST fee on payments through Trainaq
- How many clients your hours fit

## How does this personal training price calculator work?

It starts from the take-home you want each month and adds your costs: the Trainaq plan that fits your client count, the fee on payments through Trainaq and anything else you pay. It divides that by the client hours your week can hold, then prices each package by the hours it takes you.

### 1. Set your goal and your hours

Enter the take-home you want each month, before income tax, and the hours a week you can give to clients. The calculator turns weekly hours into monthly hours at 52 weeks ÷ 12 months, about 4.33 weeks a month.

- Count only hours with or for clients, not admin or marketing
- If you take weeks off, enter your average hours across the year

### 2. Describe your package mix

Split your clients between in-person monthly PT, online coaching and session packs, as shares that add up to 100%. For each, enter the hours one client takes you a month: sessions, travel, programming, check-ins and messages. For packs, also enter the hours one session takes.

- Set a share to 0% for a package you don’t sell
- The client capacity calculator helps you time each task

### 3. Add your costs

The calculator adds the cheapest Trainaq plan whose client limit covers the clients that fit, at its price before GST, and your other monthly costs. Then it raises each price so that, after the fee on the share paid through Trainaq, you still keep what you need.

- Set the share to 0% if clients pay you directly or on your own Razorpay
- Plan prices and the fee come from Trainaq’s live settings

### 4. Read your prices

You get a price per session and per pack of 10, a monthly price for in-person PT and online coaching, the least to charge per client hour and the clients that fit. Each price is rounded up to a whole rupee, so a full week reaches your goal.

- The take-home line checks the prices against your goal
- Change one input at a time to see what moves the prices

## Which formulas does the calculator use?

Monthly hours are weekly hours × 52 ÷ 12. The clients that fit are those hours divided by the average hours per client, rounded down. The rate you need is your goal plus costs, divided by the hours those clients take, and each price is that rate times the hours a package takes, raised to cover the payment fee.

- Hours a month: `H = W × 52 ÷ 12`
- Clients that fit: `N = ⌊H ÷ a⌋, where a = Σ (share × h)`
- What each client hour must keep: `q = (T + P + C) ÷ S`
- Monthly price of a package: `price = q × h ÷ (1 − e × s)`
- Price per session and per pack: `session = q × u ÷ (1 − e × s); pack = 10 × session`

- W: hours a week for clients; h: hours one client of a package takes a month
- a: the average hours per client across your mix; share is from 0 to 1
- T: your take-home goal a month; C: your other costs a month
- P: the monthly price of the cheapest Trainaq plan whose client limit covers N, before GST
- S: the hours a month your N clients take, never more than H
- u: the hours one session takes you, travel and set-up included
- e: the fee on payments through Trainaq with its GST, as a share of each payment (3.5% + GST: 4.13%)
- s: the share of revenue your clients pay online through Trainaq, from 0 to 1
- N is split between packages by your shares, in whole clients, within H; prices round up to a whole rupee

## What prices does the example give?

With the example’s 30 hours a week and its mix of in-person PT, online coaching and session packs, 17 clients fit, and these are the prices that reach a ₹1,00,000 take-home. They are examples to replace with your own figures, not a benchmark: each coach’s market differs, so check them against what clients near you pay.

| Package | Share of clients | Your hours a month | Clients that fit | Price, before GST |
| --- | --- | --- | --- | --- |
| In-person PT, monthly | 40% | 14 | 7 | ₹11,908 a month |
| Online coaching | 40% | 2 | 7 | ₹1,702 a month |
| Session packs | 20% | 6 (1.5 a session) | 3 | ₹1,276 a session; ₹12,760 for 10 |
| All clients | 100% | 7.6 on average | 17 | ₹1,10,582 a month in all |

Example values, not research or a benchmark. Hours are yours per client a month: sessions, travel, programming, check-ins and messages.

## What does a worked example look like?

Take a coach who wants ₹1,00,000 a month from 30 hours a week with clients: 30 × 52 ÷ 12 is 130 hours a month. With the example mix, the average client takes 7.6 hours, so 17 clients fit. Add the Pro plan at ₹999 before GST and ₹5,000 of other costs, and the hours must bring in ₹1,05,999.

- ₹1,05,999 ÷ 130 client hours is ₹815.38 that each hour must keep
- The 3.5% + GST fee comes to 4.13% of each payment, so each price is divided by 0.9587: ₹815.38 ÷ 0.9587 is ₹851 an hour, rounded up
- In-person PT at 14 hours a month comes to ₹11,908; online coaching at 2 hours, ₹1,702
- A session that takes 1.5 hours is ₹1,276, and a pack of 10 is ₹12,760
- Clients that fit: 7 in person, 7 online and 3 on packs, using 130 of 130 hours
- At those prices a full week brings in ₹1,10,582 and leaves ₹1,00,016, at least the goal, because each price rounds up

## Which costs do the prices cover?

Your take-home goal, the Trainaq plan that fits your client count, the fee on payments through Trainaq and the other costs you type in. GST you collect isn’t income, so it is added on top of these prices, never inside them. Income tax comes out of your take-home, so set the goal before income tax.

| Cost | In the prices? | How |
| --- | --- | --- |
| Your take-home goal | Yes | Before income tax: what you want left each month |
| Your Trainaq plan | Yes | The cheapest plan whose client limit covers the clients that fit, before GST |
| Fee on payments through Trainaq | Yes, on the share you enter | 3.5% + GST of each payment; Razorpay’s own charge is inside it |
| Other costs | Yes | What you type in: rent or floor fees, travel, kit, insurance, marketing |
| GST you collect from clients | No | Added on top of these prices and paid on to the government |
| GST on your Trainaq plan | No | Added at checkout; add it to other costs if you can’t claim it back |
| Income tax | No | Comes out of your take-home; ask a chartered accountant |

Plan prices and the fee are Trainaq’s current settings, read when the page loads.

## Should a pack of 10 cost less than 10 single sessions?

Only if you price the discount in. A discount on a pack lowers what each hour of your time earns, so the same goal then needs more hours or a higher session price. A pack paid up front brings money in earlier, which may be worth a small discount to you. Work out the cost first.

- For example, 10% off the example pack takes ₹12,760 to ₹11,484, so each pack hour keeps about 10% less
- To keep ₹1,276 a session after 10% off, the full session price would be ₹1,418
- In Trainaq a pack is a membership with a set number of PT sessions, and a discount at sale is an amount or a percentage, with a reason

## What if your price is more than clients near you will pay?

Then something in the sum has to change, because the arithmetic won’t. You can lower your goal, spend fewer hours on each client, move more clients to packages that take less of your time, or cut costs. Each coach’s market differs, so compare the result with what your own clients and enquiries tell you.

- Fewer hours per client lowers every price in proportion
- More online clients in the mix fits more clients into the same hours
- This page quotes no market prices, because each coach’s market differs
- The coach income calculator works the other way, from your prices to your take-home

## How many hours a week should you price on?

Price on the hours you can keep up all year, not the most you could work. WHO and ILO estimates link working 55 hours a week or more with a 35% higher risk of stroke and a 17% higher risk of dying from ischaemic heart disease, compared with 35 to 40 hours.

- Client hours are only part of your working week: admin, marketing and travel between clients count too
- The calculator warns you at 55 hours a week of client time or more

## Are these prices before or after GST?

Before GST. If you are registered for GST, you add it to these prices and pay it on to the government, because under GST the supplier is liable to pay the tax. GST you collect isn’t income, so it never enters the sum. Whether you must register depends on your turnover and other conditions, so ask a chartered accountant.

- Enter your goal and costs without GST; the prices come out before GST
- Trainaq issues an invoice or receipt for every client payment, with CGST and SGST or IGST by the client’s state when you are registered
- Your GST rate is a setting in Trainaq: confirm the right rate for your services with your accountant
- GST rates depend on what you supply, so this page doesn’t state one for coaching

## What do the prices leave out?

They assume a full month: every hour you entered sold, every client paying on time and each client in a package taking the same hours. Real months have gaps between clients, cancellations and late payments, and finding clients takes time. Treat the prices as the least you can charge, and leave room above them.

- Whole clients only: hours too few for one more client are left spare
- Extra client packs and add-ons aren’t included in the plan cost
- Unpaid dues and refunds aren’t counted
- Prices round up to a whole rupee; round them again to a price you like, up rather than down

## Which Trainaq plan does the calculator add to your costs?

The cheapest plan whose client limit covers the clients that fit your hours, at its monthly price. Each plan sets a limit on active clients, and archived clients don’t count towards it. Add-ons and extra client packs aren’t included, so if you are near a limit, check the pricing page for what fits.

For the example’s 17 clients that is Pro: ₹999 + GST a month for up to 50 active clients.

| Plan | Price | Active clients | Coach accounts |
| --- | --- | --- | --- |
| Starter | ₹499 + GST a month | Up to 10 | 1 coach account + 1 assistant |
| Pro | ₹999 + GST a month | Up to 50 | 5 coach accounts |
| Studio | ₹1,999 + GST a month | Up to 200 | 25 coach accounts |

GST (18%) is added at checkout. Every plan starts with a 7-day free trial, and no card is needed.

## How do you sell these packages in Trainaq?

As membership plans. Each plan has a price before GST, a length or monthly auto-pay, and a PT allowance: none, unlimited or a set number, such as 10 sessions for a pack. Clients book your open slots in the Trainaq app, each booking uses a session, and an in-time cancel gives it back.

- On a monthly plan the allowance applies each month; on a one-time plan it covers the whole membership
- A late cancel keeps the session used, unless you waive it
- Discounts at sale by amount or percentage, with a reason
- Clients pay by UPI, card or netbanking through Razorpay, or you record cash and UPI to your own account

## FAQ

### Should I charge per session or per month?

Both come from the same hourly rate, so neither earns more per hour. A monthly price suits clients on a fixed schedule and online coaching, and it makes your income steadier. A session price, or a pack, suits clients who train irregularly. You can offer both: the calculator gives you each price.

### How much should I charge for online coaching?

Price it by the hours it takes you, like any other package. If an online client takes 2 hours a month of programming, check-ins and messages, the price is 2 times the rate you need per hour. Each coach’s market differs, so compare the result with what the clients you want to reach pay.

### Why is a session priced above my hourly rate?

Because a session can take more of your time than the hour on the clock. Travel, set-up, notes and the programming around it all take time that no client pays for separately. Enter the hours one session really takes you, and its price covers them, so every hour of your week earns the same.

### Can I pass the payment fee on to my clients?

You can add an online-payment surcharge in Trainaq, a flat amount or a percentage, which is added to each online payment a client makes. If your surcharge covers the fee in full, set the share paid through Trainaq to 0% here, and the prices come out without the fee built in.

### How often should I review my prices?

Whenever your numbers change: a new goal, more or fewer hours, clients who take longer or less time, a different plan or higher costs. Run the calculator again with the new figures and compare. If your prices go up, tell existing clients well before the change, so they can plan for it.

### Which hours should I count for each client?

Every hour one client takes in a month: sessions, travel to them, programming, check-ins and messages. Time a normal fortnight before you trust the figure, because short tasks add up. Leave out admin and marketing that serve all your clients, and leave them out of your weekly hours too.
